Royal Signals Charity, Administrative Assistant Vacancy

Based in Blandford Forum, Dorset and starting in August 2022, the Royal Signals Charity requires an Administrative Assistant, a new post, to help run the day-to-day affairs of the Charity.  The primary responsibilities of this post will be to assist with the running of the Royal Signals Association (RSA) and provide clerical support to the Charity’s Accounts/Marketing operations, but wider administrative support to the Charity may occasionally be required.  

 

Line managed by the RSA Administrative Officer, the successful candidate will be engaged in all aspects of administrative support to present and former members of the Royal Corps of Signals.  Working as part of a small team in a mixed military and civilian environment, your main duties will include:

 

RSA:

• Administrative support to the RSA Central Committee.

• Maintaining the RSA elements of the SCRM personnel database relating to branch records, members details and to accurately record deaths.

• Processing new memberships.

• Processing awards.

• Managing funeral drape/flag despatch/receipt and tracking.

• Providing administrative support for RSA events and meetings.

• Assisting with the low-level maintenance of the RSA page on the Royal Signals website.

• Processing requests for Last Post and Online Memorial Book entries.

• Responding to general queries from association members and branches.

• General administrative duties, postage, shredding, filing etc.

Marketing/Accounts:

• Liaising with units/branches/fundraisers as required.

• Arranging for distribution and collection of fundraising tins, buckets and other merchandising materials, as well as tracking of items.

• Supporting events in raising the profile of the charity.

• Assisting in the production and distribution of marketing materials when necessary.

• Liaising with fundraisers/wire editor to ensure promotion through wire magazine.

• Assisting with online website/social media promotion of events.

• Liaising with the Grants Coordinator for marketing opportunities.

• Assisting with general clerical duties (eg. Filing, shredding, maintenance of records), assisting with letters, answering of phone calls and general queries.

Qualifications and Competencies:

 

Essential:

 

• Strong communications skills (written and verbal).

• Strong understanding of, and compliance with, GDPR (DPA 18).

• Proficient with MS Office applications (particularly WORD, EXCEL and POWERPOINT).

 

Desirable:

 

• Good knowledge of the Royal Corps of Signals and its history.

• Competent in the use of the SCRM personnel database.

• Must show an ability to have the patience, understanding and discretion when dealing with veterans and bereaved family members.

 

Training Requirements (to be completed within the probationary period):

 

• Complete and maintain all MOD annual training requirements.

• Complete basic user course to become compliant with the requirements of the SCRM database.

 

Working Arrangements

 

This is a full-time post (37½ hours per week) based within the Corps Headquarters at Blandford Forum, with a probationary period of 6 months.  Applicants should note that the post will occasionally have the requirement to work out of normal working hours to support events.  ‘Hybrid’ working arrangements are also available where practical/suitable but must fit with the business need.  The Charity would also consider a ‘job share’ arrangement based around support to the RSA (22½ hours per week) and support to Accounts/Marketing (15 hours per week).

 

Salary: In the region of £20,000 per annum, dependent on experience (split ‘pro rata’ if job sharing).
